Convert bank statements to QBO for QuickBooks

A QBO file is an OFX document with Intuit's conventions: an OFX version 102 header, a financial-institution block and an INTU.BID identifier. QuickBooks refuses files whose INTU.BID it does not recognise, so this converter asks you for those ids rather than guessing them. It never invents a bank identity.

What the QBO file contains

An OFX 1.02 document with Intuit's Web Connect conventions: a financial-institution block with the INTU.BID you provide, a bank or credit card statement response, a ledger balance, and one STMTTRN record per transaction with a stable FITID.

  <FITID>7d2c…e91a</FITID>
  <NAME>CARD PURCHASE FRESH MARKET #214</NAME>
  <MEMO>Card purchase Fresh Market #214</MEMO>

Dates are written at noon GMT so QuickBooks keeps the calendar day whatever timezone the computer is in. Descriptions longer than 32 characters continue in the MEMO field.

Why convert bank statements to QBO here

01

No duplicate imports

FITIDs are derived from the account, date, amount, normalised description and row position, so re-converting the same statement yields the same ids and QuickBooks skips what it already has.

02

Honest institution ids

QuickBooks rejects files whose INTU.BID it does not recognise. The converter asks you for ORG, FID and INTU.BID instead of guessing a well-known bank's identity.

03

Transaction types from context

CHECK when a check number is present, FEE for service charges, INT for interest, PAYMENT for card payments, otherwise DEBIT or CREDIT.

04

Credit cards handled

Card statements are written as CCSTMTRS with the liability sign convention: charges negative, payments positive, which is what QuickBooks expects.

05

Validated before release

The generated file is parsed back and every amount and FITID compared with the extracted data. A failed round trip stops the export rather than shipping a partial file.

06

Reconciled and deleted

Balances are checked against the printed opening and closing figures before you download. Originals are deleted 24 hours after processing; exports and extracted transactions 7 days after conversion; Delete now removes everything immediately.

Bank statement to QBO: questions

Why do I have to provide financial-institution ids?

QuickBooks only accepts Web Connect files whose INTU.BID is registered with Intuit. Those ids belong to banks, and guessing one would be both unreliable and misleading, so you choose or enter the institution yourself. The QBO file guide shows how to find the values.

Will re-importing create duplicate transactions?

FITIDs are computed from the account, date, amount, normalised description and the row's position, so the same statement always yields the same ids and QuickBooks skips transactions it already has. See fixing duplicate transactions for what to do when duplicates come from other sources.

Does it support credit card statements?

Yes. Card statements are exported as credit card statement responses with charges negative and payments positive, which is what QuickBooks expects for a liability account.

Is the QBO file checked before I download it?

Yes. The generated file is parsed back with the same parser used for imports, and every transaction amount and FITID is compared with the extracted data. The conversion also carries the reconciliation results and confidence score.

Can I use the same file in Quicken?

Quicken uses QFX, which is a sibling format. Use the OFX converter for Quicken and most other desktop tools; see QFX explained.

What QuickBooks versions accept QBO files?

QuickBooks Desktop and QuickBooks Online both import Web Connect (.qbo) files, subject to Intuit's current support policy for your edition.

Is QBO available on the free plan?

No. This format starts on Starter; the free plan converts to CSV and Excel. Every plan reconciles and reviews the statement the same way; only the export format differs. See pricing.
